Teams, roles, and invitations
Create and switch drawDB Pro team workspaces, manage Admin and Member roles, invite teammates, and understand seat behavior.
Pro Team organizes cloud diagrams inside shared workspaces. Each workspace has its own members, roles, diagrams, permissions, and subscription context.
Personal and team workspaces
- A personal workspace is private and cannot invite members.
- A team workspace supports members, roles, diagram permissions, and live collaboration.
Use the workspace control beside the diagram title to change the active editing workspace. Use Settings → Teams to inspect or administer a workspace without changing the editor's current diagram.

The final Admin cannot be demoted or removed. Assign another Admin first if responsibility needs to change.
Invite a teammate
An Admin can invite someone from Settings → Teams or from a diagram's Share panel.
- Open the team workspace in Settings → Teams.
- Enter the person's email address.
- Choose Member or Admin, when that role selector is available.
- Send the invitation.
Invitations expire after seven days and are bound to the invited email address. The recipient must sign in with that exact address.
A Share-panel invite joins the team
Inviting an email from a diagram's Share panel is a workspace invitation, not access to only that one diagram. Configure the person's diagram permission separately after they join.
Accept an invitation
The recipient can accept from the emailed link. Pending invitations also appear in Settings → Teams, with a badge on the Teams tab.
After acceptance, drawDB switches into the joined workspace and opens its latest diagram, or a blank canvas when the team is empty.
If acceptance fails:
- Invitation expired or revoked: ask an Admin to create a new invitation.
- Wrong email: sign out and use the invited address.
- Already a member: switch to the workspace instead of accepting again.
- Invitation not found: ask for a fresh link.
There is no resend action for an existing invitation. Revoke it and invite the address again when delivery fails.
Manage members
In Settings → Teams, an Admin can:
- Rename the team.
- Promote a Member to Admin.
- Demote an Admin when another active Admin remains.
- Remove a member.
- Revoke a pending invitation.
Removing a member immediately removes their access to that team's diagrams. Review diagram permissions and active integrations before removing someone.
Seats and billing
Team plans are billed per active seat. Adding or removing an active member updates the subscription quantity and may create an immediate prorated adjustment through Paddle.
During a team trial, active members and pending invitations count toward the trial's seat limit. Revoke an unused invitation before inviting someone else when the team is at that limit.

Switch workspaces
Select the current workspace beside the diagram title and choose another entry. drawDB:
- Changes the active workspace used for cloud requests.
- Opens the selected workspace's most recently modified diagram.
- Opens a blank canvas instead when the workspace has no accessible diagrams.
Confirm the workspace before creating a new diagram or moving a local one to the cloud.
