Share Pro diagrams and manage permissions
Share drawDB Pro cloud diagrams with public links, team audiences, default access, and per-member view or edit permissions.
Pro sharing controls who can open a cloud diagram and whether signed-in team members can edit it.
Before sharing
A diagram must:
- Be saved to the cloud.
- Contain at least one table.
- Be managed by the creator or a team Admin if sharing settings need to change.
When sharing controls are disabled, first confirm the diagram is labeled Cloud and is not empty.
Share from Pro Solo
Pro Solo creates a public, view-only URL. Anyone with the URL can open the diagram without signing in.
- Open Share.
- Wait for the public link to be created.
- Select Copy link.
Use Revoke link when a URL may have been exposed or should no longer work. drawDB invalidates the old token and immediately prepares a replacement link.
Share from Pro Team
Team diagrams support three link audiences:

| Invite only | Only members with an effective individual permission can open it. See the current limitation below. |
| Everyone in the team | Signed-in workspace members use the diagram's default access. |
| Anyone with the link | The public URL opens without an account and is always view-only. |
For non-public audiences, Copy link copies the normal diagram URL. The recipient must sign in and have the required team and diagram access.
Set the team default
For Everyone in the team, choose the default access:
- Can view: members can inspect but not edit.
- Can edit: members can change the diagram and participate in live collaboration.
- No access: members need individual access before opening it.
Use the member list to grant or revoke access for a specific teammate. Available choices are Can view, Can edit, and Revoke access.
Current individual Can view limitation
In the current release, an individual Can view selection does not create a read override when the audience is Invite only or the team default is No access. It falls back to the audience/default instead. Use Can edit for individual Invite-only access, or use a team-wide Can view default or public read-only link when editing is not appropriate.
The diagram creator and team Admins retain management access while they remain members of the diagram's workspace.
Permissions apply only to team members
Per-person permissions cannot target an arbitrary external user. Invite the person to the team first, or use a public view-only link.
View-only behavior
A view-only member can open the cloud diagram and inspect its sharing state, but cannot change the schema, permissions, or public-link settings. View-only access also does not permit joining a live editing room.
Public-link visitors receive the same read-only diagram experience without account or team access.
Manage access from the diagram list
The creator and team Admins can open File → Open and use the access action on a cloud row. This is useful when the diagram does not need to be opened before permissions are changed.
Secure a public link
A public link is a bearer URL: possession of the link is enough to view the diagram.
- Do not include passwords, credentials, or production secrets in a diagram.
- Revoke and replace a link after accidental disclosure.
- Switch the audience away from public when anonymous access is no longer needed.
- Remember that previously downloaded or captured information cannot be recalled.
For simultaneous editing, continue with Live collaboration.
